Custom vs off-the-shelf gym software
Most gyms should buy. Some should build. Here is how to tell.
Choose off-the-shelf gym software for a single gym or a small chain: it works this week and costs far less than a build. Choose custom gym software when you run a chain with its own rules, need deep integrations with your systems, or the software is itself your product. We make both: GymFast is our off-the-shelf product, and we build custom systems on the same base.

01
Why we say buy first
We sell custom software, so it would be convenient to tell every gym owner to build. It would also be wrong. The core of gym management, members, plans, renewals, invoices, classes, attendance, enquiries, and reminders, is the same for most gyms, and good products already do it well.
A subscription spreads the cost of building and maintaining that software across many gyms. A custom build puts all of it on you, including the parts that never end: hosting, security updates, app store releases, and changes to iOS and Android every year. For a gym that runs like most gyms, that is money better spent on trainers and equipment.
02
When off-the-shelf is the better choice
Pick off-the-shelf software when you run one gym, a studio, or a handful of locations with the same rules. You can be live in days, and the vendor carries the upkeep.
Pick it when your process is close to standard: monthly or annual plans, freezes, class bookings, QR or card check-in, invoices, and reminders. Every serious product covers those.
And pick it when you are not sure yet. Running on a product for a year teaches you exactly where your gym differs from the default, which is the best possible brief if you build later.
03
When custom is the better choice
Pick custom software when you run a chain whose rules do not fit a product: franchise structures, regional pricing, corporate memberships with their own billing, or access across locations with different terms. Fighting a product's model every day costs more than it looks.
Pick it when you need integrations a vendor will not build: your own access control or biometric hardware, an accounting system, a corporate wellness partner's API, or a data warehouse.
And pick it when the software is your product. A fitness brand selling a members' app under its own name, or a company building gym software to sell, needs code it owns.
04
The middle path
There is a third option most comparisons skip: start on a product and move to a custom build on the same foundations when you outgrow it. Your members, plans, and history move with you, and the custom work focuses on what makes your business different instead of rebuilding renewals and invoices.
That is how we run GymFast and our custom gym work. The custom systems start from GymFast's base, so a chain that leaves the product does not start over.
05
What to check before you sign either
For a product, check that you can export all your data in a usable format, that the member app works on the phones your members use, and that reminders actually send on your channels. Ask what happens to your data if you cancel.
For a custom build, check that the code, the database, the cloud accounts, and the app store listings are in your name from the first day, and that someone has a plan for the upkeep after launch.
From production
What GymFast does today, off the shelf.
The whole gym in one platform
GymFastGymFast runs members, membership plans, invoices, expenses, classes, attendance, and enquiries in a web dashboard and a staff app, across one or many locations.
Reminders nobody has to send
GymFastRenewal, payment, class, and session reminders, plan expiry, enquiry follow-ups, and auto check-out run as scheduled edge functions, so staff stop chasing.
A member app in the gym's colors
GymFastMembers check in with a QR code, follow workout and diet plans, log workouts, and see invoices in an app themed in their gym's own colors from one setting.
Built to be extended
GymFastA six-level role hierarchy is enforced in the database with row-level security, and a token-authenticated mobile API is shared by the staff, member, and trainer apps. A custom build starts from that base.
How we choose
The five questions we ask a gym owner
One gym or a small chain with standard rules points to off-the-shelf, GymFast or another product. A chain with its own rules, hard integrations, or software as the product points to custom.
- 01How many locations, and do they share the same rules?
- 02Which part of your process does no product handle today?
- 03Which hardware or systems must it talk to?
- 04Do members need an app under your own name in the stores?
- 05Who will own upkeep after launch?
Questions
Custom vs off-the-shelf gym software, asked often.
How much does custom gym software cost?
It depends on the scope: which apps, how many locations, and which integrations. We quote after a call about your gym, in writing, rather than guess a range here.
Is GymFast customisable?
The web dashboard and member app take your gym's brand colors from one setting. Deeper changes, such as your own rules or integrations, are what a custom build on the same base is for.
Can we move our data from our current software?
Usually, if the current system can export members, plans, and payments. We check the export before promising anything.
Can a custom build connect to our biometric or access devices?
If the device or its vendor offers an API or an export, yes. We check the specific hardware before we commit to it.
Will you try to talk us into custom?
No. For most single gyms and small chains, we will recommend a product, including GymFast, and explain why.
