From spreadsheet to app
The sheet got you this far. It will not get you through the next hire.
Acasa Labs turns the spreadsheet your business runs on into a web app: one record for each customer, order, or job, with roles, reminders, and reports built in. You keep the columns that work and lose the copy-paste. We have done this in our own products, GymFast and SigmaCPM, and for clients.
The problem
Five versions of the same file, and one person who knows which is right.
It started as one sheet. Now there is a sheet for orders, another for payments, a copy someone emails on Fridays, and a tab nobody is allowed to touch. Two people edit the same row and one change disappears. A formula breaks and nobody notices for a month. New staff need a week to learn where things are. The sheet still works, mostly, but the business now depends on it more than it can bear.
What we build
- 01
One record, not five copies
Each customer, order, or job lives in one place with its history, so everyone sees the same thing and you can see who changed what.
- 02
Screens for each job
The front desk, the accounts person, and the owner each get the screen they need, with the fields they use and none of the ones they do not.
- 03
Reminders and follow-ups that run themselves
The dates you track in a column today, such as renewals, due payments, and follow-ups, become scheduled reminders, so nothing depends on someone remembering.
- 04
Your data, moved across
We import what is in the sheet today, clean up the duplicates with you, and keep an export so the data is never locked in.

Members and renewals out of the sheet
GymFastGymFast exists because gym owners and trainers ran members, renewals, and payments from spreadsheets and memory. It puts members, plans, invoices, expenses, classes, and enquiries in one web dashboard and a staff app.
Each person sees their part
GymFastA six-level role hierarchy, from owner to member, is enforced in the database with row-level security rather than in app code. A login only reaches the rows it is meant to.
No more re-keying line items
SigmaCPMEstimators used to re-key the same line items from tender PDFs into spreadsheets, bond forms, and quote requests. SigmaCPM pulls them out of the PDF once and cites the page for every value.
Publish without calling a developer
The Sharp InteriorsThe Sharp Interiors adds and reorders projects and images in a custom admin, with schema validation on every project, limits on image type and size, and storage cleanup when a project is removed.
Honest trade-offs
When to keep the spreadsheet
If one or two people use it, it changes rarely, and nothing bad happens when a row is wrong, keep the sheet. An app pays off when several people edit the same data, when mistakes cost money, when you chase dates by hand, or when you are about to hire and do not want to train someone on a file. If an off-the-shelf tool already fits your process, we will say so before we quote a build.

Questions
Spreadsheet to app questions we get asked.
Can you import our existing Excel or Google Sheets data?
Yes. We map your columns to the new records, run a test import, and go through the duplicates and blanks with you before the real move. The old file stays as it was.
Will the team still be able to export to Excel?
Yes. Most apps we build have an export for the views people use, because accountants and owners still want a file. The difference is that the app is the source and the file is a copy.
We use formulas and pivot tables. Do we lose those?
The calculations move into the app, where they run the same way for everyone and cannot be overwritten by accident. The reports you build pivots for become saved views or a dashboard.
Does it work on a phone?
Yes. A web app works in the phone's browser, and when staff work on their feet all day, as at a gym front desk, we build a mobile app on the same data, as we did for GymFast.
Who owns the app and the data?
You do: the code, the database, and the accounts it runs on, from the first day.
