Business process automation services
The work your team repeats every day, done by software that does not forget.
Acasa Labs offers business process automation services: we take the tasks your team repeats, such as reminders, copying data between tools, chasing renewals, and reading documents, and build jobs that run them on a schedule with every step logged. GymFast, Pullsy, Kraftr, and SigmaCPM all run on automation like this.
The problem
Your best people spend their mornings copying data between tools.
Someone exports from one system and pastes into another. Someone checks a list every morning for who is due. Someone reads every incoming document and types it in. None of it is hard, all of it is necessary, and it eats the hours of the people you most need on other work. When they are on leave, it does not happen. Tools that promise automation in a few clicks break the first time the data looks different.
What we build
- 01
Scheduled jobs for the daily chores
Reminders, renewals, expiries, reports, and clean-ups that run at set times without anyone pressing a button.
- 02
Your tools talking to each other
Data moved between your CRM, accounting, inbox, and spreadsheets through their APIs, with retries when one of them is down.
- 03
AI where reading is needed
Where a step means reading an email or a document, a model does the reading and a person checks what it is unsure about.
- 04
A log of every run
What ran, what changed, and what failed, so you trust the automation instead of checking up on it.
From production
Automation running in our own products.
Reminders without a server to watch
GymFastGymFast's renewal, payment, class, and session reminders, plan expiry, enquiry follow-ups, and auto check-out all run as scheduled edge functions.
Jobs that recover on their own
PullsyPullsy's scheduler recovers crashed jobs from missed heartbeats, and maps platform errors to backoff with jitter capped at 30 minutes, so one bad hour does not need a person.
Queues you can see
KraftrKraftr runs seven BullMQ queues on Redis. Workers write heartbeats every 10 seconds, feeding a liveness view in the admin, so a stuck job is visible, not silent.
A person decides when the model is unsure
SigmaCPMSigmaCPM runs its work on a Postgres-backed job queue with leases and orphan reclaim, and sends disputed extractions to a person to resolve instead of guessing.
Honest trade-offs
Zapier, Make, or custom automation?
For a few simple links between popular tools, Zapier or Make is quicker and cheaper, and we will tell you so. Custom automation pays off when the steps depend on your own rules, when volume makes per-task pricing expensive, when a failure has to be caught and retried rather than ignored, or when the automation has to read documents and emails, not just move fields.

Questions
Business process automation questions we get asked.
Which processes are worth automating first?
The ones that are frequent, follow clear rules, and cost something when they are missed, such as renewals, follow-ups, and data entry. We usually start with one and measure the hours saved.
What happens when an automation fails?
It retries with a delay, and if it still fails, it raises an alert and leaves a log entry. Silent failure is the thing we design against.
Do we have to replace our current software?
No. Most automation connects the tools you already use through their APIs. We only suggest a new system when the old one cannot be reached at all.
Is AI needed for this?
Often not. Many processes are rules and schedules. We add a model only where a step means reading text, and keep a person on the unsure cases.
How is this different from your AI development service?
This page is about the process: what gets automated and how it is run. AI development covers the AI features and agents themselves, which are sometimes one step in a process.

Which task does your team do every morning?
Thirty minutes on the work that repeats. You leave with a written plan: scope, timeline, and a number.
