Internal tools development
Replace the spreadsheet your team is afraid to touch.
Acasa Labs does internal tools development for operations teams: admin panels, CMS back offices, approval flows, and the apps that replace a shared spreadsheet. We built the custom admin The Sharp Interiors uses to publish projects, the CMS where Siona Jewels tracks every enquiry, and the staff dashboard that runs GymFast.
The problem
The spreadsheet works until two people edit it at once.
Every growing team has one: the sheet with the customer list, the job status, the approvals, and the column only one person understands. It has no permissions, no history, and no way to stop a wrong value. Work leaks into WhatsApp and email because the sheet cannot send a reminder. An internal tool gives that process a real home: one record, the right people editing it, and the follow-ups sent for you.
What we build
- 01
Admin panels and back offices
The screens your staff use to manage customers, content, orders, or jobs, with search, filters, and bulk actions that match how they work.
- 02
Records with a lifecycle
Leads, jobs, or requests that move through stages, with who changed what and when, instead of a colour code in column F.
- 03
Validation and permissions
Rules that stop bad data at the door, and roles that decide who can see, edit, and approve, enforced on the server.
- 04
Imports, reminders, and notifications
Bring the old spreadsheet in once, then let scheduled jobs send the follow-ups and renewals people used to chase by hand.
From production
From internal tools in daily use.
A gallery admin the studio runs itself
The Sharp InteriorsThe Sharp Interiors' custom admin has drag-and-drop ordering of projects and of images inside each project, feature images, and visibility toggles. Uploads are schema-validated with type and size limits, and storage is cleaned up when a project is removed.
Leads with stages, not an inbox
Siona JewelsEvery Siona Jewels enquiry is saved in the CMS and moves through new, contacted, quoted, won, and closed. Sales gets an email with the design numbers in the subject and reply-to set to the buyer.
The front desk in one dashboard
GymFastGymFast's web dashboard and staff app run members, plans, invoices, expenses, classes, attendance, and enquiries. Renewal reminders and enquiry follow-ups go out on a schedule.
Operations you can see
KraftrKraftr's admin has a liveness view fed by worker heartbeats every 10 seconds, so the team can see which generation queues are healthy without opening a terminal.
Honest trade-offs
When a low-code tool is the better answer
If the process is simple, used by a few people, and unlikely to change much, Airtable, a Google Sheet with forms, or a low-code builder may be enough, and it will cost less. Build a custom internal tool when the data is the business, when you need real permissions and an audit trail, when it must talk to your other systems, or when the low-code bill and its limits have started to hurt. If your team already runs on Django, its admin can be the fastest start.

01Client work
The Sharp Interiors
The site, the project gallery, and the IT behind an interior design studio.
We are the IT partner for The Sharp Interiors, a residential and commercial interior design firm. We built their website and a custom CMS for their project gallery, and we look after the rest of their technology.

Siona Jewels
A jewellery manufacturer's catalogue that buyers find on Google and in ChatGPT, and that turns a design number into a lead.
Siona Jewels is a fine jewellery manufacturer in Mumbai selling to retailers and private-label brands in India, the US, Canada, and the UAE. We built their B2B catalogue site, the CMS behind it, the email automation that routes every enquiry to sales, and the search and AI-answer setup that gets them found.

03Our product
GymFast
Members, billing, classes, and workout plans for a gym, in one platform and three apps.
Gym management software for gym owners and personal trainers. A web dashboard and a staff app run members, plans, invoices, enquiries, and classes; members get their own branded app; GymFast Pro gives independent trainers the same tools for their clients.

Questions
Internal tools development questions we get asked.
Can you turn our spreadsheet into an app?
Yes, and that is a common starting point. Send us the sheet. We read the columns, the formulas, and the notes, ask who edits what, and design the records and screens from there. The old data is imported once.
Do internal tools need to look polished?
They need to be fast and clear more than pretty. Staff use them all day, so we spend the effort on search, forms that work from the keyboard, and fewer clicks for the common task.
Can the tool send emails and reminders?
Yes. Siona Jewels' CMS emails sales on every enquiry, and GymFast sends renewal, payment, and follow-up reminders on a schedule. A failed notification is logged, and on Siona the enquiry is saved before the email is sent.
How do you handle permissions?
Roles are defined with you and enforced on the server or in the database, never only by hiding buttons. On The Sharp Interiors, writes happen only through a separate server-side admin SDK.
Will it work with our existing systems?
Usually that is the point. We connect the tool to your email, payment gateway, accounting software, or CRM, so data is entered once.

The one your team lives in. We will tell you what the tool would look like, who would use which screen, and what to build first.
